Most marketing teams are already using AI tools. Most of them have no policy governing how. That gap is not a compliance problem yet. But it will be.
The issue is not that AI tools are dangerous. It is that without a shared framework, different people on the same team are making different decisions about what is acceptable, and nobody knows it.
What a policy actually needs to cover
An AI usage policy for a marketing team does not need to be long. It needs to answer four questions clearly.
What can you use AI for without asking? This is the permitted list. First drafts, research summaries, headline variations, image generation for internal use, transcription, translation. Things where the output will be reviewed and edited before it reaches anyone outside the team.
What requires a second pair of eyes? Customer-facing copy, press materials, anything that will carry a named author, anything that references a specific client or partner. Not a ban. A checkpoint.
What is off limits? Inputting client data into public AI tools. Using AI to generate claims that will not be fact-checked. Publishing AI-generated content without disclosure where disclosure is required. These are not edge cases. They are the things that create legal and reputational exposure.
How do you disclose AI use internally? When someone submits a piece of work, should they flag whether AI was involved? Most teams find a simple note in the document or brief is enough. The point is not surveillance. It is so that reviewers know what kind of editing the work needs.
The tone problem
The biggest risk in AI-generated marketing copy is not factual error. It is tone. AI tools produce text that is grammatically correct, structurally sound, and completely indistinguishable from every other piece of AI-generated text in your category.
If your copy could have been written by any company in your sector, it probably was. By the same model, with a similar prompt.
Your policy should address this directly. AI drafts should be edited for voice, not just accuracy. That means someone on the team needs to know what your brand voice actually sounds like, which is a separate problem worth solving before you write the policy.
What the policy is not
It is not a ban. Teams that try to ban AI tools entirely are fighting a losing battle and creating a culture where people hide what they are doing. That is worse than having no policy.
It is not a mandate. Requiring AI use for specific tasks removes the judgement that makes the output any good. The best use of AI in a marketing team is where a skilled person uses it to go faster, not where an unskilled person uses it to avoid thinking.
It is not permanent. AI tools are changing fast enough that any policy you write today will need revisiting in six months. Build in a review date.
A practical starting point
Write one page. Three sections: what is permitted, what needs review, what is not allowed. Add a note about disclosure. Share it with the team in a meeting, not just as a document, so you can answer questions and hear what people are already doing.
